Consider the following steps if you are willing to move to another computer. See what the steps are, and how they need to be implemented:

Step 1: See that the file is not too big to export

First, you must check the file that you want to transfer to another computer. It should not be so large that it is restricted from export. You can also use the Condense Data Utility to compress your company files. While migrating, remember to choose the Lists and Balances or Lists Only options.

Step 2: Move the QBDT file

  • Open the QB application.
  • If you use QBDT 2022 or newer (in QuickBooks Desktop Pro and Premier), then:
    • Go to the Company menu.
    • Choose Move to QuickBooks Online.
    • Click on Export Your Company File to QuickBooks Online
  • In QuickBooks Desktop Enterprise:
    • Press Ctrl+1 to open the Product Information.
    • Then, press Ctrl+B+Q, followed by OK
  • Later, you are required to enter login credentials.
  • Choose Get Started.
  • To make the file ready, a checklist with all the tasks required will be displayed here.
    • You need to review each task and associated data.
    • Take the initiative on each item.
    • Choose Complete All to resolve multiple tasks.
    • After you have resolved all the tasks outlined on the checklist, choose Continue.
  • In this step, you will receive a message saying Let’s bring your data to QuickBooks Online. Here, you need to pick a way to move your data.
    • Option 1: Bring all of your company data.
    • Option 2: Bring only lists and balances.
  • If you have inventory, you can opt for
    • Yes, track inventory using FIFO and then pick a starting date.
    • No, don’t move inventory. Alternatively, you can move this yourself. The inventory you have will be mentioned as non-inventory items.
  • Choose a home currency if you use multi-currency in QB Desktop.
  • Click on Yes, sign me in.
  • Tap Continue to sign in with your QBO account.
  • You need to sign in with the user ID and password you created for your QBO subscription.
  • Now, you will see the QBO company names and the subscriptions there.
  • Choose the company where you want to move your data.
  • Click Continue, followed by Export. You will see a progress bar of data transfer.
  • It asks if you want to replace this data with the previous one if you already have data in your QBO account.
    • You can either choose Agree and then tap Replace.
    • Click Yes, go ahead and replace the data, and tap Replace.
